The company predominantly trades with a large volume of low value sales which are all distributed from the head office. Invoices are sent out to clients on the following day based on the previous days dispatches (150 to 200 invoices) This process can take up to 2 hours as the user must print, fold and post the invoices.
The costs of this process (including stamps, stationery and staff time) was a material value in the overall costs.
The Solution
Spindle Professional is a document distribution solution based on Spindle Professional that creates and sends any external documents, including invoices, statements, remittance advices, sales confirmations and purchase orders.
The system merges information from Sage Line 50 or MMS to create ‘form backdrops’ such as company logo and colours. This enables it to e-mail company branded documents, cutting stationery costs dramatically. As documents can be sent out via e-mail or fax, it means a dramatic reduction in postage costs too.
Sage Document Manager allows the user to create and e-mail large batches of documents with just a couple of clicks.
